A sample approval should be reproducible. If a second operator cannot recreate the setup and result, the evidence is too weak to anchor a bulk purchase. Write the test brief before the samples arrive.
Define the event and the limits
State reader, antenna, region, power, firmware, distance, direction, speed and item population. Define what must be read and what must remain excluded. Separate per-item completeness from the time allowed for a complete inventory. If a customer specifies an approval method, follow that method rather than replacing it with a convenient demonstration.
Use representative finished items. Include liquid fill levels, metal hardware, curved surfaces, folded packaging and dense storage where relevant. Test UHF inlays and on-metal labels under their intended mounting conditions.
Run the test in layers
- Identify and record every sample before mounting.
- Confirm basic communication and encoded-data correctness.
- Apply to representative items using the defined method.
- Test isolated items to find useful candidates.
- Repeat at realistic density and movement speed.
- Add distractor items outside the intended zone.
- Repeat after relevant handling or exposure.
Keep rejected samples and the raw observations. A failure pattern can reveal a placement problem, reader blind spot or encoding error that an average success percentage hides.
Check mechanical and data behavior
Inspect adhesion, lifting edges, bending and readable print. Where a printer is used, validate the final roll geometry and calibration. Compare encoded values with the source dataset; count unique serials and reconcile voided media.
A tag that reads perfectly but carries a duplicated item identity still fails a serialized workflow. A mechanically damaged antenna may work initially and fail after handling. Keep RF, data and mechanical results in separate report columns.
Make the result actionable
Record sample revision, lot, photos, settings, dates, operator and pass criteria. Identify what changed between iterations. Require the approved construction and define which changes trigger another trial. Agree incoming inspection and traceability before ordering.
